1. Scope and definitions

This Privacy Policy explains how breeder.cloud ("the platform", "we", "us", or "the operator") collects, uses, discloses, and protects personal data when you use our website, platform, and related services. This policy applies to breeders and their customers, visitors, and any other individuals whose personal data is processed through breeder.cloud.

The operator of breeder.cloud is registered in the Netherlands at the Zwolle Chamber of Commerce under registration number 42161041. This Privacy Policy is governed by applicable Dutch data protection law and the General Data Protection Regulation (GDPR).

Where this policy refers to "you", we mean the individual whose personal data is processed. Where this policy refers to "we" or "us", we mean the operator of breeder.cloud. Where this policy refers to "your customers", we mean individuals whose personal data breeders enter into the platform, for example when managing waiting lists, contracts, litters, or medical records.

2. Controller

breeder.cloud, operated by the legal entity registered at the Zwolle Chamber of Commerce under number 42161041, is the data controller for the purposes of the GDPR in relation to the personal data collected through the platform.

If you have questions about this Privacy Policy or about how your personal data is handled, you can contact us at privacy@breeder.cloud. If you are a customer of a breeder who uses breeder.cloud, you may also contact the breeder directly, as described in Section 9 below.

3. Information we collect

We collect the following categories of personal data:

  • Account information: when you register a breeder account, we collect your name, email address, and password (which is stored in a protected form). You may also provide additional profile information.

  • Breeding and litter data: when you use the platform to manage breeding programs, litters, medical records, contracts, and waiting lists, we process your account and the data you enter into the platform. The data may include information about animals, medical records, contract details, and, where applicable, personal data of individuals on waiting lists or purchasing animals.

  • Customer data: if you are a customer of a breeder, the breeder may enter your name, contact details, and other information necessary for the purpose of managing a sale, waiting list, or contract. We process this data on behalf of the breeder, as described in Section 9.

  • Usage data: we automatically collect limited technical information about how you interact with the platform, such as your approximate geographic location, browser type, device type, and pages visited, through Vercel Web Analytics. This data is used in aggregated form to understand platform performance and improve our services.

  • Communication data: if you contact us with questions or support requests, we may process the information you provide in those communications, such as your email address and any details necessary to resolve your request.

We do not collect more personal data than is necessary for the purposes described in this Privacy Policy.

We process personal data for the following purposes, based on the following legal bases under the GDPR:

  • Provision of the platform (performance of a contract): we process account data and platform data to provide you with the breeder.cloud service, including managing breeding programs, litters, medical records, contracts, and waiting lists.

  • Legitimate interests: we process usage data to maintain and improve security, functionality, and performance of the platform. We have a legitimate interest in ensuring that our services operate reliably and safely.

  • Legal obligations: we may process personal data where necessary to comply with applicable legal or regulatory obligations, including tax and financial record-keeping obligations.

  • Consent: where required, we process personal data based on your consent. Where processing is based on consent, you may withdraw your consent at any time by contacting us.

We do not sell personal data and we do not run advertisements or third-party advertising trackers on the platform.

5. Recipients and processors

We share personal data only with the service providers that are necessary to operate the platform. These providers process personal data on our behalf and are bound by data processing agreements. We use the following providers:

  • Vercel (including Vercel Web Analytics): provides web hosting and privacy-friendly website analytics. Vercel processes limited usage data to enable us to understand aggregate traffic and improve the platform. For more information, see Vercel's privacy policy.

  • Neon: provides the database infrastructure on which platform data is stored. Neon processes personal data as a sub-processor for the purpose of hosting and maintaining the breeder.cloud database.

  • Cloudflare: provides DNS, CDN, and security services. Cloudflare may process limited technical data, such as IP addresses, in connection with network requests and security measures.

  • Rompslomp: provides financial administration software. Rompslomp processes financial data necessary for invoicing and accounting purposes.

  • GitLab: hosts our code repositories. Our code repositories do not contain user data. GitLab may have access to datasets, model files, or databases in the course of maintaining the platform, but we do not actively allow the sharing of personal data for those purposes.

We do not share, sell, rent, or otherwise disclose your personal data to third parties for their own purposes, except as described in this Privacy Policy or where required by law.

6. Google Fonts

We would not be able to offer the platform without certain tools and services. We specifically do not use Google Fonts or any font-hosting service that would cause your browser to contact Google or any other third-party server simply to load a font. As a result, no Google Fonts requests are made by breeder.cloud and no font-related data is transmitted.

All data is stored on services we control or that are operated by the processors listed in Section 5. This is part of our commitment to minimize third-party data exposure.

7. Retention

We retain personal data only for as long as necessary to fulfill the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

  • Account data is retained while your account is active and for a reasonable period thereafter to allow for reactivation or as required for legal or accounting purposes.

  • Financial and invoicing data is retained as required by applicable tax and accounting laws in the Netherlands.

  • Customer data entered by breeders is retained according to the instructions and data retention settings configured by the breeder, and in accordance with any legal obligations applicable to the breeder.

  • Usage data collected through Vercel Web Analytics is retained in aggregated form as set out in Vercel's privacy policy.

When we no longer need personal data for the purposes for which it was collected, we delete or anonymise it.

8. Security

We take appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration, or disclosure. These measures include secure hosting, encrypted data transmission, access controls, and internal policies governing the handling of personal data.

Our website is delivered over HTTPS and hosted at Vercel. Database infrastructure is provided by Neon and protected by access controls and security measures implemented by the platform. While we strive to protect personal data, no method of transmission or storage is entirely secure, and we cannot guarantee absolute security.

9. Customer data and the role of breeders

When a breeder uses breeder.cloud to manage customer information, waiting lists, contracts, or other data relating to individuals, the breeder acts as the data controller and breeder.cloud acts as a data processor on the breeder's behalf. In these cases:

  • The breeder is responsible for ensuring that it has an appropriate legal basis for processing personal data and for providing its customers with its own privacy information.

  • We process personal data on the breeder's behalf and in accordance with the breeder's instructions, as set out in our Data Processing Agreement with the breeder.

  • If you are a customer of a breeder and you have questions about how the breeder uses your personal data, you should contact the breeder directly. You may also contact us, and we will assist where appropriate and as permitted by our relationship with the breeder.

10. Your rights under the GDPR

If you are located in the European Economic Area (EEA) or otherwise covered by the GDPR, you have the following rights in relation to your personal data:

  • Right of access: you have the right to obtain confirmation as to whether we process personal data about you and to request a copy of that data.

  • Right to rectification: you have the right to request the correction of inaccurate or incomplete personal data.

  • Right to erasure: you have the right to request the deletion of your personal data, where applicable.

  • Right to restriction of processing: you have the right to request that we restrict the processing of your personal data under certain conditions.

  • Right to data portability: you have the right to receive the personal data you provided to us in a structured, commonly used, and machine-readable format, and to transmit that data to another controller.

  • Right to object: you have the right to object to processing based on our legitimate interests, where applicable.

  • Right to withdraw consent: if processing is based on your consent, you have the right to withdraw that consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.

To exercise any of these rights, you may contact us at privacy@breeder.cloud. We will respond to your request within the timeframes required by applicable law. If you are a customer of a breeder, you may need to direct your request to the breeder who controls your data, as described in Section 9.

You also have the right to lodge a complaint with the Dutch data protection authority (Autoriteit Persoonsgegevens) or with the supervisory authority in your country of residence if you believe that your rights have been violated.

11. International data transfers

breeder.cloud is operated in the Netherlands and the EEA. Your personal data may be processed by the service providers identified in for, some of which may store or process data outside the EEA. Where personal data is transferred outside the EEA, we rely on appropriate safeguards in accordance with the GDPR, such as the Standard Contractual Clauses or applicable adequacy decisions.

In particular, data processed through Vercel, Cloudflare, and other providers may be transferred to and processed in countries outside the EEA. We take steps to ensure that such transfers are subject to appropriate safeguards and that your data remains protected.

12. Cookies and tracking

We do not use advertising cookies or third-party tracking cookies. We use Vercel Web Analytics, which is a privacy-friendly analytics solution, to understand how visitors use the platform in aggregate. Vercel Web Analytics does not use cookies to collect personal data and does not track users across websites.

Technical data may be processed by Cloudflare for the purpose of security, performance, and network delivery. This data is not used to build a profile of you and is not used for advertising purposes.

13. Children's privacy

breeder.cloud is intended for use by professional animal breeders and adults. The platform is not directed to children. We do not knowingly collect personal data from children. If you believe that a child has provided us with personal data, please contact us and we will take steps to delete such data as soon as possible.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, the platform, or applicable law. We encourage you to review this page periodically to stay informed of how we protect your personal data. The date at the bottom of this Privacy Policy indicates when it was last updated.

If we make a significant change to this Privacy Policy, we will notify breeders through the platform or by other appropriate means where required. For changes that affect the handling of customer data, breeders are responsible for informing their customers where appropriate.

We will respond to your request as soon as possible and within the timeframes required by applicable law. If you are not satisfied with our response, you have the right to lodge a complaint with the Dutch data protection authority (Autoriteit Persoonsgegevens).
